How to Prepare a Remote Guest for Your Podcast Recording

How to Prepare a Remote Guest for Your Podcast Recording

Give your remote guest a short editorial brief, confirm their equipment and room, and test the actual setup before recording day. Preparation should make the interview easier to join without asking the guest to become a sound engineer.

First agree the hybrid production with the studio. Finchley's Roundtable Set supports remote contributors, with the connection and recording arrangement to be discussed when booking. The guest's instructions should follow that agreed workflow.

Explain the conversation before the technology

Send the guest the audience, episode subject and a few themes you want to explore. Include the intended duration, whether they will appear on video and whether the programme is recorded or live.

Ask for the correct spelling and pronunciation of their name and title. Agree any topics that need care and explain how they can ask for a pause.

Provide the joining time with a time zone, the expected finish and one contact if they have trouble connecting. Distinguish the test time from the start of the actual interview.

Check the equipment they already have

Ask which device, microphone and headphones they intend to use. Have the production team confirm compatibility before the guest buys, borrows or changes anything.

An external microphone and headphones can be useful, but clear instructions matter more than an unexplained shopping list. If additional equipment is needed, agree who supplies it, when it arrives and how it will be tested.

Do not assume Finchley provides loan or courier kits as part of the recording booking. Any equipment arrangement needs separate confirmation.

Choose a suitable room and picture

Ask the guest to use a quiet place where they can remain undisturbed. Listen for obvious noise during the test and consider a more suitable room if the voice sounds distant or echoey.

For video, position the camera at a comfortable height and check that the face is clearly visible. Review what appears behind the guest and remove material they do not want in the programme.

Keep the device stable and connected to power where practical. Silence notifications, and avoid placing notes where reading them repeatedly pulls the guest away from the microphone or camera.

Test the complete setup

Use the same device, microphone, headphones and location planned for the interview. Follow the chosen platform's current device and browser instructions.

During the test, check:

  • The intended microphone and camera are selected.
  • The guest can hear the host comfortably.
  • A natural speaking voice is clear in the recorded test.
  • The picture suits the intended episode layout.
  • Any screen sharing or playback works.
  • The guest knows what to do if the connection drops.

Agree changes with the producer rather than asking the guest to disable workplace security controls on their own.

Keep the conversation comfortable

Introduce everyone who is present and explain who is operating the recording. Leave space after questions and give clear cues when moving between speakers.

If an answer needs repeating, identify a natural starting point. Avoid promising that every interruption or unwanted sound can be repaired later.

Finish the upload before closing

Where the workflow records locally on the guest's device, allow time for the files to upload. Riverside's leaving instructions tell participants to keep the browser page or app open until the upload finishes. Follow the equivalent instructions for the platform you have agreed.

Have the producer confirm completion before the guest shuts down. Explain the next review or release step so they know what happens after the call.

For a studio podcast with an off-site guest, share your Finchley recording requirements early. Include the guest's location, available equipment and intended outputs so preparation follows the actual production plan.
