An internal company podcast needs two plans: useful content for employees and an appropriate way to distribute it. Define who should hear the programme, what they should gain and how access will be managed. Recording in a professional studio does not itself make the resulting files confidential or restrict who can share them.
Choose a useful internal purpose
Focus an episode on a question employees need answered. Examples include understanding a change, learning how another team works or hearing a practical explanation from leadership. Avoid turning every episode into a list of announcements that dates before publication.
Define the audience by role, location or need, and consider people who cannot conveniently listen during work. Keep essential policy information available through the organisation's established channels. Use the company podcast guide to establish an editorial owner and review process.
Agree distribution before recording
Ask your IT and communications teams which system can support the intended audience. Confirm authentication, access removal, downloads, sharing and any reporting. Do not assume a public podcast feed or an unlisted video is suitable for confidential information.
YouTube explains that unlisted videos can be watched and shared by people who have the link. Treat that setting as different from an organisation-managed access policy. Test the chosen employee experience using the actual accounts and devices involved.
Plan participation and privacy properly
Explain the recording's audience and uses to contributors. Give employees a way to raise concerns about participating, and avoid treating a manager's invitation as automatic permission. If consent is your proposed data-protection basis, ICO guidance addresses whether it is freely given, including power imbalances.
Ask the appropriate internal adviser to settle the lawful basis and privacy information for your production. The recording ownership guide covers a different question: who may use the content and under what agreement.
Make the production manageable
Keep one person responsible for clearing sensitive material, spelling names and combining edits. Give the studio a brief that excludes information it does not need. If figures, customer examples or personnel matters are discussed, check what may be recorded and retained before inviting the guest.
| Production item | Decision to record |
|---|---|
| Access | Intended audience and approved distribution system |
| Contributors | Participation arrangements and contact for concerns |
| Review | Named factual and confidentiality approvers |
| Deliverables | Audio, video, transcript and accessibility needs |
| Retention | Owners and review dates for source files and published versions |
Separate the internal and public versions
If material may later support recruitment or marketing, commission that use explicitly. An internal discussion should not quietly become a public clip. The recruitment podcast guide helps plan an external programme with different audience expectations.
Confirm the source-file transfer and archive arrangements using the retention guide. Test that approved employees can access the final release and that the organisation can correct or replace a version when necessary.
Planning this at Finchley Studios
Finchley's CEO recording options include an engineer-supported Gold package. For an internal programme, discuss the production separately from your organisation's secure publishing arrangements.
Ask how recording files will be transferred, who needs access and whether any specific confidentiality agreement is required before the session. Supply a clear review contact and identify any restrictions that affect on-set screens or promotional photography. Confirm the outputs your internal platform accepts; do not assume Finchley provides employee authentication, private podcast hosting or audience analytics as part of studio hire. Those responsibilities should be assigned in the complete brief.
