Studio file retention is a temporary safety window, not a substitute for your own archive. Know when that window starts, what it covers and who is responsible for preserving the delivered media.
Clarify what is being retained
Camera originals, microphone tracks, finished exports and editing projects can have different storage arrangements. Ask which assets the policy covers rather than assuming every version remains available.
A download link may also expire separately from a studio backup. Record both dates where they differ, and find out whether a re-upload or longer storage arrangement is possible.
Download and inspect promptly
Assign a named person to receive the files. Check that the expected episodes, camera views and audio tracks are present and can be opened. A folder name alone does not confirm a complete handover.
Raise missing files or transfer problems while the agreed retention period is still active. Waiting until an editor starts work weeks later can leave fewer options for resolving an issue.
Keep your own organised archive
- Retain a working copy for the editor.
- Keep a separate backup in another location or storage service.
- Store the delivery list, episode identifiers and production notes with the project.
- Record any access or deletion dates your team needs to manage.
Preserve camera and microphone sources when you may want future clips or a different edit. A compressed published episode cannot recreate every option available in the original recordings.
