Listener voice notes can bring real questions and experiences into a podcast, but they need an organised submission and review process. Explain how a recording may be used, screen it before the session and test the audio. Receiving a file is not the same as having a clear agreement to publish every detail it contains.
Tell contributors what they are submitting
Explain the show, intended audience and possible uses of the recording, including edits or promotional extracts. Ask contributors to avoid private details about other people and provide a contact for questions. Make it clear that submission does not guarantee inclusion.

Screen the content before the host hears it on air
Review names, allegations, personal information and third-party sound before approving a message. A listener may have recorded background music, another person's voice or material they are not entitled to share. GOV.UK explains that using copyright material requires an appropriate permission, right or exception.

Check what the recording actually sounds like
Ask for a short, clear contribution recorded in a reasonably quiet place. Listen to the entire file and check whether the question remains understandable. Keep the original and create a working copy rather than overwriting the only received version.
Agree any level adjustment or cleanup with the editor. Avoid promising that processing can restore missing words or remove every unwanted sound. If a message is unusable, ask whether the contributor can record it again or approve an accurately attributed alternative.

Plan playback as a production source
Tell the engineer how many clips are involved, their order and who must hear them. Check playback and monitoring before the main take. Give each approved file an understandable label and decide where the host's introduction and response belong.

Keep a record of use and retention
Where consent is the proposed basis for handling personal information, ICO sets out requirements for valid, informed consent. Confirm the appropriate data-protection arrangements for your process rather than assuming a generic submission checkbox resolves everything.
Record where a selected message appears, the agreed public credit and any restrictions. Set a policy for unused submissions and access to the contact details. Review those arrangements when planning future reuse instead of treating a single episode permission as unlimited approval.
