A podcast guest release records what the guest and producer agree about recording and using a contribution. Discuss it before the session, while there is time to answer questions. The useful starting point is a clear description of the production and intended uses, rather than a request to sign unfamiliar paperwork at the microphone.
Name the production and the responsible people
Identify the show, episode or series, the producer and the contributor. Record the guest's preferred public name and credit separately from their contact details. If an organisation or representative needs to approve participation, establish who has authority to do so.
Explain whether the session is audio, video or both, and whether anything will be broadcast live. A guest preparing for a recorded interview should not discover on arrival that an audience is already watching. Use our guest briefing guide to communicate the practical plan alongside the agreement.
Describe the uses in language people understand
Work through the actual output list. A full episode, a short trailer, paid advertising and a promotional still are different uses to discuss. Include the platforms and any planned translations or adaptations. Ask about restrictions before creating a publishing schedule.
| Item to discuss | A concrete question |
|---|---|
| Editing | Can the producer shorten and rearrange the conversation while preserving meaning? |
| Extracts | Are audio clips, vertical videos and stills included? |
| Promotion | Will the guest's name or image appear in advertising? |
| Review | Is there an agreed review step, and what does it cover? |
| Timing | Are there publication dates, embargoes or time limits? |
| Sensitive material | What is the agreed process for identifying a passage to discuss? |
This is a discussion checklist, not a release form or a substitute for terms suited to your production. Record the agreed position accurately rather than treating every example as a compulsory clause.
Separate participation, copyright and personal information
These questions overlap but should not be collapsed into a single promise. The Intellectual Property Office explains that copyright ownership depends on the circumstances of creation. Our recording ownership guide helps organise that separate discussion.
For personal information, ICO guidance requires an appropriate lawful basis to be identified and documented. Do not assume that a signature resolves every data-protection obligation. Give guests clear information about the intended handling of their details and contribution.
Discuss synthetic voice, generated images or AI training separately if proposed. Ordinary recording permission should not be treated as a convenient answer to uses that nobody explained.
Keep the agreement usable during production
Give the guest a copy and maintain a clear record of the version agreed. Tell the editor about restrictions using only the information they need. Keep sensitive contact details out of public show notes and file names.
If a review is promised, assign one contact and a realistic response date. Explain whether the review concerns factual corrections, sensitive passages or final editorial approval. Seek appropriate professional advice where the agreement involves complex rights, minors or sensitive circumstances.
Planning this at Finchley Studios
For a Finchley recording, the show producer should coordinate guest permissions alongside the studio booking. Send the team any operational restrictions that affect filming, such as an embargo, an agreed pause procedure or limitations on promotional photography. Share only the personal information needed to run the session.
The CEO set is presented for corporate and executive content, but a room choice does not determine the guest's agreement. Confirm who collects releases, who approves extracts and whether any separate use of footage by the studio is proposed. Put those responsibilities in writing before the session so the host, engineer and editor can follow one agreed plan.
