If you need to move a podcast recording, contact the studio as soon as possible with the booking reference and proposed alternatives. Ask whether the request is a cancellation, a date change or a credit request, because the available options and costs can differ. Keep the original slot until the studio confirms what has changed.
Check the terms for your actual booking
Read the cancellation and rescheduling terms attached to the booking, including any quote-specific arrangements. Note the notice deadline, how notice must be sent and whether it is measured in calendar days, working days or hours before the start.
Identify separate commitments such as crew, equipment, editing or travel. Moving the room reservation may leave other arrangements unchanged. If a production company or agency made the booking, nominate one authorised person to speak for the client.
Send a request that can be answered
Include the current date, time, set, duration and booking reference. Explain whether you need a replacement date, cancellation or advice on alternatives. Offer several realistic dates and identify requirements that cannot change.
For example: “Our guest is unavailable for Tuesday's session. Can you confirm the options under booking ABC123? We can record on Thursday afternoon or the following Monday. We still need the same guest capacity and production package.”
Ask for written confirmation of these points:
| Issue | Confirmation to request |
|---|---|
| Original slot | Is it being held, cancelled or released? |
| Payment | What is refunded, retained, credited or newly payable? |
| Credit | When does it expire, and what can it purchase? |
| Replacement | Which date, set, duration and staffing are confirmed? |
| Other services | What happens to separately booked crew, editing or equipment? |
Compare workable alternatives
A different guest, solo segment or shorter format may preserve useful production time. Consider those choices only if they serve the show. A remote contribution is another possibility when the studio confirms the technical requirements and the guest can participate comfortably.
If you are simply arriving late, ask what can still be achieved inside the existing slot. Our overtime planning guide helps you discuss an extension without assuming one is available. Check any relevant cover separately using the studio insurance questions.
Clarify charges and rights carefully
Ask for a calculation of any charge and the resulting balance or credit. The CMA's consumer cancellation guidance explains that cancellation terms must be fair. Whether consumer protections apply depends on the booking circumstances; business contracts require their own assessment.
The CMA's price guidance also addresses unavoidable charges in consumer prices. Ask for the complete replacement-booking amount before accepting it. Seek advice on a disputed term rather than treating this planning checklist as a decision on your legal rights.
Close the communication loop
Once the studio confirms the outcome, update the calendar invitation, travel arrangements and production call sheet. Tell guests explicitly which earlier details have changed. Keep the revised confirmation with the original booking so the crew, studio and client share the same plan.
Finchley's published cancellation position
Finchley's refund policy, reviewed on 22 October 2026, states that cancellation at least 14 days before the booking qualifies for a full refund. For cancellation less than 14 days but more than 48 hours ahead, clients can request studio credit, valid for six months.
For cancellations within 48 hours, the page states a 50% cancellation fee alongside wording that no refunds or credits apply. Ask the team to clarify the resulting charge and balance for your booking. The page treats exceptional refunds or rescheduling as a management decision, so a replacement date needs written approval. Check the current policy and your booking confirmation before relying on a particular outcome.
