Producers, marketers and guest representatives can help a recording run smoothly. Their attendance should be planned around the room, the total headcount and the kind of conversation you want to capture.

Count everyone attending
Distinguish between people speaking on microphone and people observing. A set's advertised speaker capacity does not automatically mean it can also accommodate several colleagues, additional crew and equipment.
Tell the studio about the full group before booking. Ask where observers can sit or wait, whether they can monitor the recording and how their presence affects camera positions and guest movement.
Agree how feedback will work
Choose one person to consolidate production notes. Decide whether feedback happens at natural breaks or through an agreed cue. Multiple people interrupting an answer can make the recording harder to edit and unsettle the guest.
Keep phones silent and avoid typing, whispering or moving chairs near open microphones. Off-camera does not mean inaudible.
Consider the effect on the interview
Some guests feel supported by a familiar colleague. Others become cautious when a representative sits directly in their eyeline. Discuss the arrangement with the host and guest rather than defaulting to a crowded room.
Remote observation may be an option for some productions, but it needs its own access, monitoring and communication plan. Confirm it in advance instead of assuming it is part of a standard recording package.

How Finchley Studios handles this
Send Finchley the number of speakers and the total number of attendees. We can discuss a suitable set and the arrangements available for people who are not being recorded. If a producer needs to monitor or give notes remotely, include that request in the production brief so it can be assessed before booking.
